Cover Letter Tip Sheet

A cover letter must accompany your resume everytime you apply for a job! *

A strong cover letter:

  • Provides an example of your ability to communicate effectively in writing;
  • Reinforces your resume, explaining specifics of your qualifications in more detail;
  • Will intrigue the reader enough that he/she will want to interview you.

Cover Letter Basics

  • Format your contact information exactly as it is on your resume - typically top and centered on the page. Your name will be the first thing the reader sees and it gives your correspondence a professional, consistent look.
  • Use the same font on your cover letter and your resume, and the same kind of paper.
  • Left justify the letter, except for your contact information. Put the date, skip two lines, and then write the name, title, organization, and address of the person to whom you are writing. If you are unable to obtain the person's name, use "Hiring Manager" or "Search Committee." Do not use "To Whom it May Concern." Under the address, before the salutation, reference the job number.
  • Keep your cover letter to one page (not more than five paragraphs).

          First Paragraph:
          Grab the readers attention by immediately stating why you fit the
          requirements. Identify the position for which you are applying and explain 
          how you heard about it.

          Middle Paragraph(s): 
         
Explain how your qualifications meet the employer's needs.

          Final Paragraph:        
         
Request an interview to discuss your qualifications. Thank the reader.

  • Avoid starting sentences with "I." You want the reader's perceptions to be that you understand their needs and how hiring you will benefit their organization.
  • Do not write about how the position will help you. Focus on how you can help the organization.
  • Use blue ink to sign the letter, to assure the reader this is an original document and not a copy.
  • Before sending the cover letter, carefully proofread it.
  • If using e-mail to send your letter and resume, combine into one document and send as a PDF attachment if possible, or as a Word document.
  • If sending via the postal service, use a 9 x 12 envelope so you do not have to fold your letter and resume. It will stand out from the others, look better, and scan more accurately.

* The only exceptions to this are online applications that do not allow additional materials.
